CRM routing

Every new lead in your CRM with its source attached

Form submissions and platform lead forms sent into HubSpot, Salesforce or Pipedrive, tagged by campaign and assigned to an owner.

Where tracking usually breaks

Most tracking problems in small accounts come from the same few places:

  • Tags added directly to the site by different people over the years, with no one sure what each does
  • Form submissions counted twice, once on the button click and once on the thank-you page
  • UTM tags spelled differently from campaign to campaign, so reports split one source into several
  • Leads arriving in the CRM with no source at all
  • Ad platforms optimizing toward form fills that sales never pursues
  • Nobody notified when a new lead arrives, so it waits

A tracking setup project usually starts by auditing what exists, removing what is broken or duplicated, and rebuilding the rest in Google Tag Manager so changes happen in one place.

How a tracking project runs

Tracking projects tend to follow this order:

  1. Audit. List every tag, pixel, form and integration in place now, and note what works and what does not.
  2. Plan. Agree which events matter, what each conversion means, and how UTM labels will be named.
  3. Build. Set up tags in Google Tag Manager, GA4 events, platform conversion tags, hidden form fields and CRM routing.
  4. Test. Submit test leads from different devices and sources, then confirm each one is recorded once in every tool.
  5. Connect back. Set up offline conversion import from CRM stages to the ad platforms.
  6. Document. Hand over a plain record of every tag, event and integration.

Most of the risk sits in the test step, so a careful provider spends real time there.

Your sales stages and definitions

Before anything is sent back to an ad platform, your business needs to define what each sales stage means. A provider can set up the plumbing, but the definitions come from you.

Write down your pipeline stages in plain words. What makes a lead "contacted"? What counts as a "meeting booked"? When is a deal "won"? Who moves a record from one stage to the next, and how reliably do they do it?

This matters because offline conversion import depends on those stages being updated. If your team rarely moves deals forward in the CRM, the ad platforms receive little useful signal. Some businesses start by tidying the pipeline itself, before any tracking work, and that is often the right order.

Questions about lead tracking and follow-up

Why do GA4 and my ad platform show different numbers?

Each tool counts by its own rules. They differ in attribution windows, how they treat returning visitors and what ad blockers stop. Some gap is normal. The aim is to keep each source consistent over time and to make sure a single submission is not counted twice within any one tool.

What are UTM parameters?

They are labels added to a link that name the source, medium and campaign. GA4 reads them to report where visitors came from, and hidden form fields can save them with each lead in your CRM. A shared naming sheet keeps them consistent across campaigns.

Which CRMs can form leads be routed into?

Most common CRMs accept form leads, including HubSpot, Salesforce and Pipedrive, either through a direct integration or a connector tool. The setup maps each form field to a CRM property, saves the campaign source, checks for duplicates and assigns an owner.

If your ads, pages or follow-up need attention, describe the problem and get a scoped quote.
